Overview
You will support the event management team in the planning, organisation and implementation of a wide range of events, from conception to follow-up. You will take on administrative tasks, coordinate service providers, look after participants and provide support in event marketing and on-site realisation.
Responsibilities
- Support in the planning and organisation of events: collaboration in the preparation, implementation and follow-up of internal and external events such as trade fairs, conferences, company celebrations and workshops.
- Coordination of suppliers and service providers: communication and coordination with catering, technology, decoration and other event service providers
- Participation in project meetings: taking minutes, following up on tasks and supporting the event management team in project coordination
- Preparation of event documents: Assisting with the creation of presentations, attendee lists, invitations and event materials
- Event marketing support: Assisting with the promotion of events via various channels (social media, newsletter, internal communication)
- Participant management: Maintaining the participant database, sending out invitations and managing registrations
- Logistical support: help with organising itineraries, accommodation and transport for participants and guests
- On-site support: Assisting with the realisation of events, including set-up and dismantling, looking after guests and solving short-term problems
Hardskills
- Studies: Ongoing studies in the field of event management, marketing, business administration or comparable subjects.
- Knowledge and skills:
- Social skills: Strong communication and teamwork skills, ability to empathise and customer orientation.
- Methodological skills: Structured and organised way of working, problem-solving skills, project management skills an advantage.
- Expertise: Basic knowledge of event management and marketing, knowledge of MS Office (especially Excel and PowerPoint) and ideally initial experience with event management software.
- Self-competence: High self-motivation, ability to work under pressure, flexibility.
- Language skills: Fluent written and spoken German and English - further language skills an advantage
